If you are a Co-Op Connect Platform subscriber, you have access to the Co-op Authorization Letter and Request Form. You may be asking why it is important to know this. The answer is that this form is the key to “unlocking” the co-op fund balance for any/all of your customers. If you work with an auto dealer’s “front of the house”, many of the dealers know all about co-op and probably know their co-op fund balance at any point in time. However, if you work with the “back of the house” – Parts & Service, they may not even know they have co-op available to them for all those tires, wipers and filters they install in cars. Long story short, you may have some very co-op savvy customers, while others may not have a clue.If you are working with a customer who doesn’t have experience with co-op, the Authorization Letter and Request Form would work wonders. You can find this form on the Co-Op Connect platform under the “Co-Op Sales Docs” tab at the top of the page. Once you select that tab, the very first thing you will see is the Co-op Authorization Letter and Request Form.
This is what page one of the form looks like:
- Two Form Buttons: “Print” – Used to print the form with or without digital entry of the form data and “Export Flattened PDF” saves an non-editable copy of the form after the form has been filled digitally. These buttons will not appear if the form is printed.
- Form field for your name, position and any relevant company information.
- Form fields require your customer’s business information and include a signature line for your customer.
If your customer (advertiser) signs this form, it gives you permission to research the accrual balances on his/her behalf for the brands they carry. Page two of the form (example below) allows you to research up to six brands on your advertiser’s behalf. It is very important to determine whether they purchase their product from the Manufacturer directly (Manufacturer Rep. field), or from a local Distributor (Distributor field), as this is who releases the co-op funds. The other very important field is the Customer # for Mfr./Brand as most manufacturers or distributors will not release the dollar amount without having that customer number. Between the signature from your advertiser (the store, dealership, retailer, etc.) and the account number they hold with that manufacturer/distributor, they then feel confident in releasing the co-op dollar amount.
